Residency Management

Each residency program has unique needs and information requirements—some specialty-driven, some institution-driven, some that have to do with a program's goals and the way the institution practices medicine. VerinformRM™ is deployed on a program-by-program basis, for the entire institution. For each program the system takes into account the specific data that must be tracked and collected. The system is configured to match the forms, reports and workflow a program uses.

Data collection is automated and driven by email reminders. Physicians and residents can access the system from any computer with a browser and Internet connection. Program Directors have access to up-to-date information about residents that can be used to enhance their training program.

VerinformRM collects and manages the information residency programs use—including resident and attending physician demographics, educational history, schedules, evaluations, procedures, conferences and duty hours. Timely completion of record-keeping tasks is obtained through automatic email reminders to residents and attending physicians.

Schedules

  • Assigns rotations, clinic, call and vacation schedules for all residents and attending physicians

Duty Hours

  • Manages, documents and forecasts duty hours based on resident schedules
  • Residents record their hours using a simple drag-and-click interface—no need to type in hours worked
  • Bases duty hours on rotation call and leave schedules—residents edit default schedules as needed

Evaluations

  • Required evaluations are generated automatically based on the rotation schedules and time and are configurable by the individual training program; for example, the system can generate any or all of the following evaluations automatically:
    • Attending physician evaluates housestaff
    • Housestaff evaluate attending physician
    • Housestaff evaluate rotation
    • Resident evaluates intern
    • Intern evaluates resident
    • 360° evaluation by any other individual
  • Residents and attending physicians are notified by email that evaluations are awaiting completion. They are provided a link to a secure site to complete the task; the text of the email messages, and the follow-up notification schedule, are configurable by each training program.
  • Evaluations can be distributed automatically and accessed by Program Directors in real-time for analysis.
  • Each training program can tailor its online evaluation forms to exactly match its paper-based forms; requirements for who is evaluated by whom and which form is used are configurable by the individual program.
  • Program Directors and Coordinators have extensive reporting capabilities, including detailed and summary statistics of evaluation scores and completion status, with ability to rank residents within their peer group.
  • Ad hoc evaluations can be created by any resident or attending physician about any other resident or attending physician.

Procedures

  • Training programs can tailor their list of procedures to be tracked and the scope of information to be included for each procedure; training programs have the option of capturing information beyond that required by the Residency Review Committee (RRC).
  • RRC reports are produced automatically.
  • Supervising physicians are notified by email to accept a procedure as credentialable.
  • Procedure Requirement Summaries identify the compliance status of residents.
  • A "Nurse's View" report enables nurses and other authorized personnel to see which procedures may be performed without faculty supervision by specific residents.
  • Program directors can grant compliance to residents for procedures performed before implementation of VerinformRM, so that past experience is recognized.
